Properties, leases and tenants
A property is the building or unit. A lease is the agreement to let it: the rent, the deposit and the dates. Tenants belong to a lease. A property counts as occupied whenever one of its leases covers today.
Add a property
- 1
Open Properties and click Add Property.
- 2
Give it a name you will recognise, then the street, the number, the city and the postcode. The number may hold letters too, such as 22A or 22/A.
- 3
Pick the country. For a property in Belgium you are also asked its region, filled in from the postcode: it decides how the rent is indexed.
- 4
Add a photo if you like. It appears on the property’s card and its overview.
- 5
Leave Occupied off for an empty property: you can add the lease later. Switch it on to enter the lease right here, in the same form.
- 6
Click Save Property.
Edit a property
Open the property and click Edit on its overview, or use Edit property in the ··· menu of the property list.
Add a lease
- 1
Open the property, go to its Lease tab and click Add Lease in the top right corner. The tab lists every lease the property has had.
- 2
Enter the currency, the rent and how often it is due (each week, month, quarter or year). Base rent is the rent agreed at signing; indexation is worked out from it, and it follows the rent until you change it.
- 3
Enter the deposit, the start date and, if the lease has one, the end date. Leave the end empty for a lease with no fixed end.
- 4
First Rent Due is the day the first rent must be paid. Every later rent falls due one period after the one before.
- 5
Click Save Changes. The lease appears in the lease history, and the property shows as occupied from the start date.
Add tenants
Click a lease in the lease history to open its details, then click Add Tenant. Enter the name, and the email address if reminders should reach this tenant: messages sent to the tenant go to every tenant on the lease who has one.
Forget a tenant
When a tenant asks for their personal data to be erased, or you no longer need it, open the lease’s details, click ··· on the tenant’s card and choose Forget. Their name, contact details and notes are erased for good, and so are the reminder templates written for that tenant alone. The tenant stays on the lease as Forgotten tenant, so its charges and history still add up.
Delete erases the tenant the same way and takes them off the lease as well. Neither can be undone. Reminders sent to every tenant on the lease are kept, as your record of what was sent.
End a lease
End Lease ends a running lease today. To end it on another day, use Edit Lease and set the end date. A lease that never started can simply be deleted.
Rent indexation (Belgium)
On a property in Belgium, the lease form offers Rent indexation. Switch it on and give the signature date, the lease type and the energy label. Every year around the anniversary, Kelid works out the indexed rent under the rules of the property’s region and shows it in a bar on the property’s overview, where you accept or decline it.
