Reminder templates

A reminder template is an email that sends itself. It fires before or after a date on a lease (its start, its end, or each rent due date), can wait until something is still unpaid, and lists exactly what the tenant owes.

Create a template

Open Reminders and click New template. The form fills in from top to bottom, and the preview on the right shows the email as it will be sent.

  1. 1

Title: the subject line of every message it sends.

  2. 2

Trigger: when it fires. Pick a date on the lease (the start date, the end date or the rent due date), then optionally how many days, weeks, months or years before or after it, and optionally a condition, such as only if any of the rent charges is not paid.

  3. 3

Message: under Charges to list, choose tags; every outstanding charge carrying one of them is listed, with a total per currency. Write a header and a footer, such as your bank details. They are sent exactly as written for every lease.

  4. 4

Scope & delivery: Applies to every lease or one lease; Send to the tenant, the account’s own users, or a custom address such as your accountant. Active from and Active until limit when it may fire; that is how you pause a template without losing what it sent.

  5. 5

    Click Save template.

Three templates to start with

  1. 1

Rent due soon: fire 3 days before the rent due date, list charges tagged rent, send to the tenant.

  2. 2

Rent overdue: fire 5 days after the rent due date, only if any rent charge is not paid, send to the tenant.

  3. 3

Lease ending: fire 90 days before the lease end date, send to the account’s users, so you have time to renew or find a new tenant.

See what goes out

The Templates tab lists your templates with their trigger, who they go to and when each fires next. The Reminders tab shows what is upcoming and what was sent, for the whole account or one property; open a sent reminder to read the message exactly as it went out.
