Charges and allocations

A charge is what a tenant owes: an amount, a deadline and tags such as rent. Money that arrives is recorded as a transaction, and allocating it to charges is what marks them paid. Keeping the two apart lets one bank transfer cover several charges, or several transfers one charge.

Add a charge

  1. 1

Open the property’s Charges tab and click Add Charge. The charge belongs to the property’s current lease, so the property needs one.

  2. 2

Name it the way the tenant should read it (Rent October, Water bill), then the currency, the amount, the deadline and the tags.

  3. 3

Click Create charge. It starts as a draft and becomes sent once a reminder has listed it to the tenant.

Keep track of what is owed

The Charges tab of a property, and the Charges page for all properties, show what is outstanding, what is overdue and what has been collected. Charges are grouped into Important (drafts still to send, and charges running late), Awaiting Payment (sent and not yet due) and History (covered in full, or cancelled).

Allocate money received

  1. 1

Record the money that arrived as a transaction with a positive amount, as in the transactions guide.

  2. 2

Click it in the Transactions tab, then click Allocate.

  3. 3

Pick the charge it pays and how much goes to it. To split the money over several charges, click Add new row.

  4. 4

Click Assign. The charge shows as partly or fully paid.

Settle or cancel a charge

Click a charge to see its progress and the money allocated to it. Settle marks what is still owed as covered without money arriving: for the cents a currency conversion leaves behind, or an amount you write off. Cancel Charge is for a charge that should never have been asked for.
